Client Registration

The purpose of the “Client Registration” page is to collect and maintain information about the individual – including contact and demographic information – and assign a PIN if the individual doesn’t already have one. “Client Registration” information is collected in WWP for TMJ, TJ, and CF participants only. You will need to continue to maintain “Client Registration” information for W-2 and Learnfare participants in CWW.

For Emergency Assistance, Client Registration is used to make PINS confidential and to assign PINS for individuals unknown to CWW and WWP.

Accessing Client Registration

The first time “Client Registration” is completed for an individual in WWP, you will access this screen directly from the “Clearance” page. Keep in mind that a PIN will not be created until after “Client Registration” Save & Exit button is clicked.

  • For TMJ, TJ, and CF workers, once initial “Client Registration” has been completed, you will not be able to update the individuals “Client Registration” information until the individual is “Referred” or “Enrolled”. You can view the individual’s status on the “Participant Summary” page. Otherwise, the screen will be read-only. After a participant is “Enrolled”, you will want to maintain accurate information on the “Client Registration” page. 
  • EA workers won’t be able to update an individual’s “Client Registration” information until an EA application has been started for an individual.
  • Workers can update “Client Registration” information via the “Case Management” menu.

Making a PIN Confidential

If you need to make a PIN confidential for EA, TMJ, TJ, or CF, you can do this via the “Client Registration” screen.

You will need to select “Yes” or “No” for “Make PIN Confidential” the first time you complete “Client Registration” for a participant, as shown in the screenshot below:

When you make a PIN confidential, only the assigned case manager or EA worker/supervisor will be able to view the PIN. Other individuals within the same contract agency will have the ability to request access to the PIN if needed.

Social Security Number (SSN) Verification

The following data elements are sent to the Social Security Administration (SSA) to help verify the individual’s identity:

  • Name
  • DOB
  • SSN

This will result in an “SSN Verification Status”, which will be displayed on the “Client Registration” page, as shown below:

Personal Information section

Because SSN verification occurs overnight, you will not see the “SSN Verification Status” immediately. If there is any issue with SSN verification, the BWF Work Programs Help Desk will contact you to let you know that there is an issue that needs to be resolved.

Data Shared with CWW/CARES

The following information is shared between CWW/CARES and WWP:

  • Name
  • DOB
  • Gender
  • SSN
  • Alias Name(s)
  • Race
  • Ethnicity

If you update any of this information in WWP, you will see that it has been update in CWW/CARES – and vice versa.

All other data elements on the “Client Registration” page will need to be maintained separately in both systems.
