Child Care Background Check Procedures
At the start of the background check process, the CBU or certification worker reviews and enters information from the Background Check Request form into the Individual screen in WISCCRS using the “Request Form” link. The individual must first be entered into WISCCRS using the Individuals module located under Location Details in the left side menu. The individual’s demographic information, mailing address and employment/residency start date is entered on the Individual Details page. Information obtained from the Background Check Request form is entered using the “Request Form” link that is visible once an individual has been added to WISCCRS.
The CBU or certification worker completes the responses in the Background Check Request form page as indicated on the Background Check Request form. If a Yes is chosen, additional details display and are entered. Any supporting documents should be uploaded into the Document section under the individual. After the Individual Details and the Background Check Request form have been completed, the automated system-generated Fingerprint Instruction Letter is triggered overnight (for individuals age 18 and older) and the Fingerprint Request status in WISCCRS is changed to Fingerprint Materials Sent to the applicant/licensee/operator.
When the BECR regional licensing office, CBU or the certification agency receives a paper copy of the Background Check Request form, it is scanned and uploaded in WISCCRS under the Individual Documents. The CBU, certification worker or regional licensing staff enters the Background Check Request form information and responses in the Individuals Module using the “Request Form” link.
Once a child care program is regulated, the preferred method for a child care program to submit additional Background Check Request forms (or updating Background Check Request forms) and add or remove individuals is through the CCPP. Individuals may also submit their background check request through the iChildCare Portal.
