New Employability Plan

Creating or adding a new EP is done using the New Employability button on the Employability Plan List Page. If you need to edit an In Progress EP, you first need to click on the EP from the List page and then select the Edit Employability Plan button in the plan itself. Both creating a new EP and editing an In Progress EP opens the same screens and workflow for entering new data and information.

Employability Plan – Basic Detail page

After clicking the New Employability Plan button on the Employability Plans List page, a new In Progress EP opens for editing.

Employability Plan landing page:

  • Program
    • Choose the appropriate enrolled program to associate with the EP
    • Only programs in which the participant is enrolled are available
  • EP Begin Date
    • Enter the date in which the EP should begin
    • For W-2 This cannot be a future date or be backdated more than 10 days in the past
  • EP End date
    • Enter the planned end date for the EP
      • The EP can be ended earlier than this date as needed
  • Create EP without activities
    • Select if this EP should not require activities when submitting
      • Note that most EPs will require activities
  • [Notes]
    • Record any EP level notes that should be references when reviewing this EP
      • This detail will be included in the PDF of the submitted EP.

  • To view the number of hours that a Child Care Worker has authorized, click View CC Authorization button on the left side navigation bar of the Employability Plan Overview page.

  • WWP will retrieve and display data from CSAW. If there is more than one authorization for different child care providers, WWP displays each set of authorization details.

Employability Plan – Goals page

This page shows all active goals for the EP.

  • Add Goal 
    • Add a new goal to this EP
  • [Trash Can]
    • Deletes the goal from the in-progress EP
    • This is only available for a goal before the EP is submitted and not when it is a carry-over goals.
Employability Plan – Add Goal page

This page allows you to add specific goals to the EP. Each Goal Type requires a Goal Name and Goal Description. Primary Employment Goal Types also require Goal Steps.

Add Goal page fields:

  • Goal Type
    • Required for every EP 
    • Options:
      • Primary Employment Goal 
        • Required for W-2, CF, TJ/TMJ, and ELEVATE EPs
        • Only one Primary Goal can be active on an EP
      • Secondary Employment Goal
      • Other Program Goal
      • Long term Career Goal
      • Personal Goal 
      • Education Goal 
        • Only appears for Learnfare EPs and is Required 
  • Goal Begin Date
    • Defaults to EP Begin date and cannot be edited
  • Goal Name
    • The name of the goal 
  • Goal Description 
    • Broader detail regarding goal 
  • Add Goal Step 
    • Click to add new goal steps
      • Primary Employment Goal and Education Goal require Goal Step(s)
  • Step
    • Individual milestones to complete for goal achievement
  • Completed?
    • Mark a particular goal step as being completed
Employability Plan – Employments

Current employments page for the participant entered on the Work History prior to EP development may be available here for selection.

Selecting the checkbox in the employment entry here will add the employment to the EP. Doing this will help workers when they are planning out activities throughout the week with the participant.

In addition to the employment needing to be current, the employments also need to be one of the following types to be displayed and selected here: 

  • Unsubsidized
  • Staffing Agency
  • Self-Employed
  • TEMP Non-Custodial Parent (Unsubsidized)
  • TEMP Non-Custodial Parent (Subsidized) – available only for W-2
  • TEMP Custodial Parent (Unsubsidized)
  • TEMP Custodial Parent (Subsidized) – available only for W-2

All other job types must be recorded as an activity from the drop down in the EP. 

Employability Plan – Elapsed Activities

New In Progress EPs will not have any Elapsed Activities. If this EP was created after another EP for that program was submitted, any Activity that is still active past it’s planned end date will appear here. You can complete these activities here using the Completion Reason field.

Employability Plan – Activities

This page allows recording of all EP activities. On the main page, all activities currently recorded for the EP along with their start and planned end date are displayed. While the EP is in progress, carry-over activities can be ended, their Planned End date can be extended and their Activity Schedules can be edited.    Clicking the View Calendar button will display what the participants schedule and weeks would look like with the currently entered activities.

Add Activity/Edit Activity

Clicking the Add Activity Button from the EP will display all fields needed to add a new activity.

Add Activity Fields: 

  • Activity
    • Select the activity to be added
    • See the Activity Catalogue [Link] for more detail 
  • Activity Description
    • Describe important specifics of the activity 
  • Activity Location
    • On-site indicates that the activity takes place on the actual work site or place of business
    • Off-site indicates the activity takes place somewhere other than a work site, such as remote, virtual, or Self Directed
  • Business Name and Details
    • Only the business name is required here 
    • The location and contact details of the business are optional
  • Activity Contact
    • [+] 
      • Create a new contact to be associated with this participant
    • [Magnifying Glass] 
      • Add a contact that has already been associated to this participant, through other EPs or through the WWP Contacts page
  • Add Contact
    • Add a row for another Activity Contact
  • Additional Information
    • Free text to add any information relevant about the activity, location, or contact

 

Add Activity Scheduler

Every activity requires a schedule before it can be saved and automatically placed on the participant calendar.

Activity Scheduler fields:

  • Start Date
  • Recurring
  • Frequency
    • Only appears when the Recurring checkbox is selected
    • How often the activity recurs
      • Daily – Every Weekday 
      • Weekly
        • Add all days of the week that apply to the recurrence
      • Biweekly
        • Add all days of the week that apply to the recurrence
      • Monthly
        • Add specific week of the month and day of the week that apply to the recurrence
  • Planned End Date
    • When the activity is planned to end and should not be listed on the EP calendar
    • If a new EP begins prior to the activity’s planned end date, the planned end date can be extended
  • Hours Per Day
    • Number of hours the activity will be performed 
  • Begin time
    • Optional, add if it is helpful to record shift or activity start 
  • End Time
    • Optional, add if it is helpful to record shift or activity end
  • Add Activity Schedule 
    • Add a new schedule for the same activity to be completed, but has a different schedule than what is already entered above
  • End Activity
    • When adding a new EP, an activity that was carried over from previous EP, can be ended by checking this box. A completion reason and Actual End Date must also be entered. 
Employability Plan – Supportive Services page

This page is dedicated to recording EP specific Supportive Services. When adding a new service, the Service type is required and details are encouraged. These entries can be deleted before the EP is submitted.

  • Education/Training Funding
  • Transportation Funding
  • Work-Related Clothing
  • Work-Related Equipment
  • Gift Cards 
  • Other

When all pages are completed, clicking Save + Exit button will complete the editing process and display all EP sections for review.

Submitting, Deleting, and Reviewing EP 

Submitting the EP is the final step in activating the EP for a participant. 

After all pages of an in-progress EP are completed, clicking Save + Exit button will complete the editing process and display all EP sections for review. The EP is not editable from here, but the EP can be edited again by clicking Edit Employability Plan button.

You can also: 

  • View Calendar 
    • Displays a calendar view of assigned activities and their dates and hours assigned on the given day
  • Delete
    • If it was a mistake in creation of this new EP, Delete will remove all changes that were made to activities, goals and supportive services and the EP is inactive/void
  • Submit
    • This sets the EP Start date and can activate Participation Tracking
    • This will be the official start of the new EP
