3.4 Complaint Comment Field

Complaint information should be recorded in the Complaint Module. The comments field in the Complaint Module may contain documentation that the licensing specialist has received a phone call, an email or an office visit from the provider with questions or concerns regarding a complaint about his/her facility. S/he makes note of the date that such a contact occurred, who made the contact and that the subject matter of the contact was the most recent complaint. The comments field would not provide extensive detail about the conversation, such as what the parties said to each other, but would note the subject matter of the discussion.

Example: “On DATE, the licensee called to request the results of the complaint investigation conducted on DATE. She was informed that the results will be available by DATE and will be shared with her.”
