2.2 Notifying Other Agencies

Other agencies that have an involvement with the licensee must be informed that the facility has been closed for two weeks in case they may also need to take appropriate action, such as suspending Wisconsin Shares payments or the USDA food program for that time period. The regional office may inform other agencies verbally and then follow up with a copy of the applicable notice or just send a copy of the notice electronically, through the mail, e-mail or by fax. Note: If the licensee appeals the action, it is the responsibility of the licensee to communicate the results of the final fair hearing decision with other agencies.

When the facility will be allowed to reopen at the end of the two week closure, the licensing manager/licensing supervisor verbally informs the licensee that the licensee may reopen the center. A notation explaining the decision to allow the facility to reopen should be included in the General Comments field in WISCCRS. The notation should also indicate the date, time and name of the person who verbally informed the licensee of the decision. If a letter is sent to the licensee authorizing the reopening, this should be uploaded into WISCCRS.

The licensing specialist or licensing manager/licensing supervisor must ensure that all parties who were informed of the temporary closure are told that BECR has allowed the facility to reopen. Once the county/tribal subsidy unit has official notification of the reopening, the “Suspend Authorization” field in CSAW can be deleted and new authorizations can be created.

The licensee is responsible for informing the parents of children that had been in care at the center prior to the closing, of the re-opening.
