Child Care Certification Policy Manual
Certain records requests may be identified by the records custodian as being routine and, therefore, may not require review by the records custodian and may be fulfilled directly by the certification worker. Certification workers should consult with their agency’s records custodian whether or not a records request should be treated as routine.
For example, the following routine requests might be considered open records requests that may fulfilled (as determined by the agency’s records custodian) by certification workers:
Copies of agency pamphlets, brochures, annual reports or other data routinely published by the agency or on the agency’s website.
A certified operator requests a copy of his/her TB test/screening documentation.
A certified operator requests to view his or her own compliance history.
It is advised that certification workers view the DOJ PowerPoint regarding open records, as the presentation outlines, in greater detail, records that were not created by the agency but are in the agency’s possession, personal emails, calls and documents on an agency’s account, social media, contractors’ records, courtesy notices, etc.
