The Division of Children and Family Services is pleased to announce the development of a web-based reporting system for Kinship Care. By the end of the summer, DCFS will be converting to a web-based system which counties and tribes will use to report all Kinship Care data each month. This system will allow counties and tribes to report the required monthly data to the Department by entering it directly into the web-based system. We believe that this new system will provide a simplified and more efficient way to report this data to the Department, and, in turn, enable the Department to fulfill its reporting requirements to the Federal government. Over the next couple of months, you will receive further instructions and training materials on the new system.
In order to effectively launch the new system, corrections to your existing data may be necessary. Enclosed please find several documents that will help with your data clean-up and future data input. The first document is a list of editing instructions that you will want to retain for both data clean-up and as an informational resource for future reporting. If you are one of the counties or tribes that has data that must be corrected, you will also find a copy of the data errors for your agency.
Each county and tribe has thirty (30) days in which to make the needed corrections. If you normally submit your monthly data on paper forms, you should make corrections on the enclosed documents. If you have a copy of the current Kinship Care automated system, you should make the corrections to your system and send an ‘export’ using the name ‘nnn_UPDATE_2001’ (where nnn is your County/Tribe number).
Please submit all corrected data to Ruth Murphy. If you have any questions, you may contact Ruth directly at (608) 266-5330.
Thank you for your time and cooperation with this matter.
