What's New in eWiSACWIS Reports

THE "NEW" REPORTS OUTLINER

Two significant improvements to eWReports are now in place:
  • eWReports has had a facelift, and now presents reports similar to the icon-based eWiSACWIS desktop.  This presentation is on the new “Reports Outliner” tab.  Reports are now organized by category and sub-category. Clicking on a category icon expands and displays the sub-categories.  Expanding the sub-categories displays all reports within that program / functional area, with a corresponding clipboard icon.  Expanding an individual report will display the current available output files.  These will always be from the most recent scheduled run cycle. The output filename displays with the reporting period dates that the report data covers.  The list of reports will be visible to all users, regardless of security access.  But, only users with assigned security access to a report will be able to see and open the output files. Contact your security delegate for access.
  • The most often used reports appear by default.  Click on Show All Reports to show everything.  If you do not have access to a report that appears, you will not have a blue hyperlink for that report.  Contact your security delegate for access.

    The “Current” tab of eWReports is still present, and may be used in the same fashion as always.

  • On the Current and Archive tabs a new set of columns shows the reporting period start and end dates.  The middle start and end date columns display the time period the report covers. It will now be easy to determine if you are looking at a weekly, monthly or other time period for the report.  The run date, which is when the report was run in the system, shows as the last column.

REPORT IMPROVEMENTS

Child and Adolescent Needs and Strengths (CANS) Timeliness (SM08D100) Report

The logic in this report was modified to be consistent with the updated CANS policy specific to the requirements related to non-foster care placements. Please see the CANS policy for the specific requirements. Also, the on-demand version of this report includes all counties on the County Comparison tab. It should be noted that there will be future enhancements to this report to address additional outstanding issues.

NYTD (National Youth Transition Database) Youth 17 (SM08x104) Report

The NYTD Youth 17 report has been modified. Previously youth were assigned to a county based solely on their independent living page. If no independent living page was created, the youth did not show up on any county’s output. The report still shows the county listed on the independent living page as responsible if there is an independent living page created. For youth with no independent living page created, the placement county of the youth’s most recent out of home care placement is the county listed. Counties should look at the most recent run of the report to determine if new children have showed up with the new logic that was not on previous runs.

Permanency Consultation (SM08A109) Report

The logic of this report has been modified to include each Permanency Consultation (PC) that occurred during the reporting period for those children in OHC. The report was pulling in the most recent PC created for children in OHC at the end of the reporting period.

NEW REPORTS

Contact for Families Report (CM06X104) Report

The Contact for Families Report contains summary and detail information about caseworker contacts for each open case. The report brings in all cases open during the report run period, evaluating whether contact (in person or by telephone) was made on the case. If a contact was made, the information reflects whether the contact was with a case reference person and/or a case participant. Unlike the federal caseworker contacts, this report covers all families open with an agency (at initial assessment, ongoing, pre-adoptive, etc.). Voluntary kinship cases are excluded from this report. There is no statewide or federal performance measure associated with this report. The report runs monthly for the previous month and can be run on demand for custom date ranges. CM06X104 has six tabs as outlined below:

  • READ_ME:  This tab provides information on how to use this report and basic instructions on how to use Excel.
  • COUNTY_SUMMARY:  This tab summarizes at the county level, all open cases and how many cases have contact information recorded for the reporting period. Of the cases with contact data, percentages are provided for both reference person contacts and case participant contacts.
  • WORKER_SUMMARY:  This tab summarizes by worker, open cases and whether there has been contact made within the reporting period along with the contact percentages of reference/participant persons. Each worker has a single row of information for all their cases.
  • CASE_SUMMARY:  This tab shows every case open in the county during the reporting period and if contact was performed on this case. It also details whether contact was made with the reference person.
  • CONTACT_DONE:  This tab dtails every contact made by telephone or in person within the reporting period. Each case is listed along with the following columns: case type, case participant name and relationship, the dates the contact occurred and was documented, whether it was a face-to-face contact, done by designee, and the location of the contact.
  • CONTACT_NOT_DONE:  This tab details each open case where contact had not be done in a month of the reporting period. The case open date and case type are listed. Additionally, there is a documenting when the case record was last updated (the last time the record was updated in the system by anyone) and whether contact was attempted.

Provider Detail Report (PM02A103) Report

The Provider Detail Report contains detail information about licensed foster care providers. The report pulls in all providers who had an active license or whose license on-hold during any point of the reporting period. Summary information provided break out the number of providers with placements, the level of certification for providers, a summary of provider demographic information, and the available capacity of providers. PM02A103 is run on the MPEP reporting cycle (on or after the 5th of the month). It can also be run on demand for custom date ranges. The Provider Detail Report has eight (8) tabs. An overview of each tab is outlined below:

  • READ_ME:  This tab provides information on how to use this report and basic instructions on how to use Excel.
  • USAGE_SUMMARY:  This tab provides a count of licensed active providers, the number of active providers with and without placements, and the number with available capacity.
  • CHARACTERISTICS:  This tab contains information related to the characteristics of licensed providers. The count take the number of parents identified on the licenses of all active providers and then breaks out the count by the following demographic information marital status, gender, race, the number identified as an ICWA placement, and the number identified as Hispanic/Latino.
  • AVAILABITLITY:  This tab lists all providers who have an active license during the reporting period and contains the following information: the provider's licensed capacity, the number of children currently placed in the provider's home, the current capacity of the home, and the provider's preferred capacity. The current capacity is based on placements documented in eWiSACWIS. If a placement has not yet been documented, it will not be included in the count of children currently placed with that provider.
  • PLACEMENT_DETAIL:  This tab contains information related to providers who have or have had a child p laced in their home at any point during the reporting period. Information found on this tab includes, but is not limited to: provider, case, child identifying information, child demographic information, and information related to the child's removal and placement.
  • ADDRESS_DETAIL:  This tab contains the address (street, city, state, and zip code) along with primary language of every provider who had an active license or license on-hold at any point within the reporting period.
  • This tab contains information about each provider that held an active license or an on-hold license during the reporting period. Information includes, but is not limited to: provider identifying and demographic information, licensing dates, certification level, capacity information - current, licensed, and preferred plus placement preferences.

REPORT IMPROVEMENTS

PM04A103 - Licensing Timeliness Report

A modification was made in the Detail tab to include the narrative explanation when a license is identified as withdrawn.

SM17X101 - Subsidized Guardianship Report

The subsidized Guardianship (SG) Report contains information related to children who are receiving a subsidized guardianship payment. Modifications were made to provide summary and detail information regarding those children who are receiving a SG subsidy as well as IV-E funding eligibility information for those children.

SM08X109 - Permanency Consultation Report

A modification was made int he Detail tab to display the LOE (Length of Episode) in months to the tenth decimal.

SM02X100 - Access Report (Enhanced)

The Access Report (Enhanced) as been improved once again. This report now contains information in summary and the detail for Alternative Response (AR). Three new tabs have been added to (the far right) the spreadsheet.
  • AR_ACCESS_MONTHLY_STATS:  Provides summary information for AR and traditional response (TR) screened-in report counts along with the differentiated counts of allegation types.
  • AR_ACCESS_REPORT_DETAIL:  This tab contains the detail data for the supporting summary information. An additional column, ASSMT_TYPE_CHNGE, has been added to denote a change from alternative to traditional or vice versa during the reporting period. The cell is blank if the screening decision matched the IA disposition.
  • AR_ALLEGATION_VICTIM_DETAIL: This tab contains the detail victim data for the supporting summary information.
