Adding A
New Worker

PURPOSE:

To establish a process for adding new workers when there a personnel changes or additions.

 

PROCEDURE:

Add a new Worker:

The Supervisor who hires the worker must:

  1. Complete the DMT933 Network Access Request using the template provided in MS Word. In the Section III – Comments area, enter the Worker’s "Job Class" and the WiSACWIS Worker ID, which will be assigned when the worker is added to the application.
  2. Enter the minimum Person and Worker information into WiSACWIS.
  • Person requires the Worker’s First and Last Name
  • Worker requires:
    • Employee ID from the Worker’s Employer
    • Start Date
    • Status = "Active"
    • Job Class
    • Worker Type = County, State, or Vendor
    • Supervisor’s Name (Searched within WiSACWIS)
    • Social Worker Certification Information = Yes or No
      • If Yes    Certificate Status = None, Training Certificate, Temporary Certificate, or Certificate plus the Effective Date
    • Worker Location Information: show below

  • Additional Worker information, such as Work Phone, Fax, and E-mail Address may be added but are not required.
  1. Forward the DMT933 to the Site or Unit PA3 for submittal to the DCFS Security Officer. BIS will establish the appropriate Network Access, Software NALs, etc. The DCFS Security Officer will establish the Worker’s Application security within WiSACWIS and notify the submitting PA3 of the Worker’s IDs and any initial passwords.

Note: A change to a worker’s Name, Job Class, or Work Location requires that a new DMT933 be submitted to the DCFS Security Officer. See additional instructions that follow.

 

The following information describes how to enter Worker information into WiSACWIS.

To Add a new Worker:

  • From the Menu bar:
    • Select Maintain
    • Select Worker
  • On the Maintain Worker Information Screen
    • Click Person button
  • On the Search Person Screen
    • Enter Worker’s First and Last Name
    • Click Search button
    • When you receive the ‘No Match’ message….
      • Click OK
      • Click Create
    • Click OK (Worker’s First and Last Name are the only required fields)
    • Click OK
  • On the Maintain Worker Information screen
    • Enter the required information (as described on the previous page)
    • Click OK

To Update Worker Information:

The following instructions relate to updating specific worker data that impacts security. These changes require submitting a DMT933 to the DCFS Security Officer. Any other worker data may be updated in the same way without submitting the security request.

Worker Name Change: *Only a worker’s direct supervisor has authority to change a name.

  • From your application desktop
    • Click the Worker tab
    • Double click on your name to display your Workers
    • Highlight the Worker whose name is to be changed
    • Right click
    • Click Person Management
  • On the Person Management screen
    • Change the Worker’s name (any other information on this screen may be updated at the same time).

Worker Job Class, Location (Employing Entity, County/State, Site/Office, Unit), and/or Status Change:

  • From the Menu bar:
    • Select Maintain
    • Select Worker
  • On the Maintain Worker Information Screen
    • Click Person button
  • On the Search Person Screen
    • Enter Worker’s First and Last Name
    • Click Search button
  • On the Maintain Worker Information screen
    • Enter the required changes (Note that a Location change should include changing the Supervisor.)
  • Click OK
