| On the Case Note page, the Create button (located on the bottom right side of the page) can be used to create a case note for the same case. By using this feature, the worker no longer needs to go to his or her desktop to find the case he or she was working on. |

| August 2009 | When you create an Out of Home Placement, the system automatically ends the Child's current Primary address and updates the address to match the Provider's Address. When ending an Out of home placement which does not result in a Discharge from all placements, the system will not update the child’s primary residence address. If the Placement Ending results in a Discharge from all placements, the system will automatically end the current primary residence address and the system will prompt, “Would you like to update the child’s primary residence address to the case address?” Yes/No. If the worker selects ‘Yes’ the system will create a new primary residence address for the child that matches the address of the Case. If the user selects ‘No’, then no new primary address will be created. |

Did
you know as of 6/22/09 a case can be closed in ONE DAY? When a case is submitted for
case closure, the closure edits will be performed immediately, informing
the user if the case has been Accepted or Denied. If a case is denied, the
denial reasons will appear immediately informing the user of what needs to be
done in order for the case to close. The user can complete the unfinished work,
re-submit the case for case closure, and get supervisory approval in a one
day process, eliminating the need for an overnight case closure batch. |

| April 2008 | When selecting Roles for participants on an Access Report, the role of “Non-Household Member” should only be used for those people that are part of a case, but who do not live in the home that is being assessed. Do not select additional roles beyond “Reporter” for the Reporter unless the Reporter should be part of the case. Mandated reporters (i.e. law enforcement, teachers, and eWiSACWIS workers) should never have a role other than “Reporter” or they will appear as Case Participants on the case and will also appear on the Prior Involvement tab - if there are any future access reports on the case. |

1) The SPS reporting population (using either eWiSACWIS or the spreadsheet) are those clients (children and adults) who are receiving services paid for by the county (either via staff resources or paid services) to address early intervention/prevention (i.e. non-CPS which is captured via eWiSACWIS thru casework documentation) or community based (i.e. not placement which is already captured via eWiSACWIS thru Out-of-Home Placement documentation). This group, formerly called the Child and Family Target Population in HSRS Core, should match with expenditure data provided by the county for Human Services Revenue Reporting. Both
the Child Welfare (formerly known as the HSRS CORE “Child and Family”)
target population and the JJ target population can be reported either
using the eWiSACWIS functionality or can be report via our Division’s
annual survey for the Child Welfare and the Division of Juvenile
Correction’s annual survey. For both of these target populations,
service reporting related to Child Abuse and Neglect reports, initial
assessments and any resulting service plans and to out-of-home care
placements would be captured only from eWiSACWIS data that is entered as
part of the casework documentation. These services should not be
entered in the eWiSACWIS SPS functionality or the surveys as it would be
duplicative. I hope this proves at least a little helpful in clarifying who is subject to SPS reporting on our Division’s behalf and how the data is used. Please keep us posted of additional issues or questions so we can continue to better clarify what is needed by the state and from counties. |

As you search for and find that medical provider, please keep in mind that, like you, the entire state can search for, find, and edit the same medical provider.

Missing in Care represents a
placement setting within the child or juvenile’s current placement
episode. Use of the Missing in Care placement setting is documented in the
Out-of-Home placement page. A child or juvenile is considered
“Missing from out-of-home care” when he or she is under the placement
and care responsibility of the department or a county agency, is living in
an out-of-home care setting, and any of the following criteria are
met:

The Judicial tab has been removed from the Permanency Plan Review or Hearing Results page. Approved pages as of the 3.2 release date will continue to display the Judicial tab. Pending pages as of the 3.2 release will no longer display the Judicial tab from the Permanency Plan Review Or Hearing Results page. Judicial Review Date, Type, and Method should still be recorded on Permanency Plan Review or Hearing Results page within the appropriate timelines. Multiple Assignments can be created, ended and/or reassigned from the Assignment Maintenance window in real time. Overnight batching is no longer required for entire caseload reassignments. | August 31 2007 | You can copy information from one eWiSACWIS template to another by using the Copy From Bookmarks button which appears in the menu bar of an open eWiSACWIS template. With a template open, click the Copy From Bookmarks button. A window will popup that lists all of the fields (i.e. bookmarks within the template you have open) on the left hand side of the window. As you select or scroll through the List of Bookmarks, the right hand side of the window will display the Bookmark text that is associated with that field. Once you have found the text you are interested in copying, make sure it appears in the Bookmark Text area and click the Copy button. Close this window and navigate to the location you want to paste the copied text into. Right click and select paste. The text you copied from the Bookmark Text area, will appear in the field. |
| July 16th 2007 | A Person ID (of another person in the case) can be obtained quickly by expanding the case and then expanding the Related People Icon. |
| June 16th, 2007 | At the top right of each page in eWiSACWIS (from which a template can be opened) is a button labeled TM. When you click on the TM button, you will be taken to the Template Mapping page. On this page you can select the template you wish to view Template Mapping for. Template Mapping is the "blueprint" of how a particular template works. Each field on the template will be explained within the Template Mapping document. (i.e. The Father field is prefilled from the Child's Father field on the Additional Tab of the Child's person management record.) Use template mapping if you are have trouble getting certain fields of your template to prefill. |
| April 23rd, 2007 | Three important ticklers are generated when an Initial Removal from Home is approved. One is for the Permanency Plan, one is for the Permanency Plan Review (6 Months) and one is for the Permanency Plan Hearing (Annual). Right clicking in a date field will display a calendar from which you can select a date. The date you select will then prefill into the date field you right clicked in. This is the only right click functionality that is currently present in the eWiSACWIS application. |
| March 19th, 2007 | In order to facilitate the clean-up of duplicate person records, the edit that currently prevents the merging of persons attached to an investigation, will be removed from eWiSACWIS on March 26th 2007. As a result, duplicate person merging should prove to be more successful. |
| February 19th, 2007 | For a variety of reasons, a child’s placement history may be incomplete or inaccurate. The Placement Correction functionality is used to view, add, and modify a child’s placement history information. The Placement Correction functionality may be used to correct information such as Removal Dates, Removal from Home information, Placement Begin Dates, Placement End Dates, Placement Ending Purpose, Placement End Reasons, Discharge Reasons, and Placement Status. In addition to these items, designated PHC county workers can also use the Placement Correction functionality to enter the actual provider name for a placement record that was initially documented with a default/historical provider. | Feb 12, 2007 | The Search Precision slider allows you to indicate how precise you want the search return to be. The slider tool has five settings from High to Low. When the slider is set to High, only exact matches based on the criteria entered will display in Cases Returned Group Box. When the slider is set to Low, the system will provide more potential returns. |

Releases 1.9 and 2.0 brought about changes to the wildcard (*) search. eWiSACWIS now allows multiple wildcard searches for all name fields. This will enable a user to enter more than one wildcard in the same name field. For example, searching on the following criteria "S*t*J*" will find results that begin with S and have a "T" and "J" in them, like St. Josephs or Saint Johns. Don't forget, you can also do wildcard searches with numbers. For example, for person searches, users will be able to enter a Street (number) wildcard 24* and pull up any persons with variations of the last name AND street address that begin with '24. |

At this time, there has been direction from the Office of Program Evaluation and Planning that Trial Home Visits should not be documented in eWiSACWIS. There is no policy direction or statutory authority to use these appropriately. While there is a Trial Home Visit placement status value and service ending values, the Placement Manual does not address documentation due to policy and legal issues. At this point, the above scenario would be documented as a placement episode ending in a discharge to Reunification and a new episode would start when the child returns to care. This is consistent with AFCARS. The child may remain under agency supervision during the time between episodes and the SEU may use this information to manage IV-E status. |

Supervisors can be set as their own supervisor within the application. This allows for tickler escalation to stop at the supervisor, and it pulls the supervisor's name forward one level off of the Create Worker Assignment Page. Thus, if creating an assignment to one's self, the supervisor no longer has to drill-down through the director to find their worker icon. This avoids many extra steps, decreasing the amount of time it will take to self-assign. One can have another supervisor in the agency maintain their worker record to accomplish the above set up. Note* This should only be done if there is no business or workflow need for your supervisor (usually the director of the agency) to automatically receive tickler escalations or approvals. |

The adoption regions have been consolidated from 5 to 3. Due to this you will now see a change in the values you see in the drop downs. The following procedure should be used to create a IV-E eligibility icon in a case where it is needed but missing. This work must be done by the ongoing caseworker. 1. End the last placement for the child in question on the last day of the most recent month. (This simplifies the payments for the provider). Use an end reason of "Agency requested change". Please note: This will create multiple placement lines (different start dates) in your Permanency Plan. If you desire to not have multiple placement lines reflected then you can end your placement for reason of placement made in error. Doing this will close the placement the day it began. In turn, this will generate a series of overpayments and new payments (when the new placement is documented). All of these will need to be cancelled up to the month's cost of care that has not been paid. 2. After the placement ending is approved, create a new placement starting on the next day. This placement should be set up exactly the same as the one that was ended with one exception: On the services tab, click the check box that reads "This placement is the result of a transfer". Once this placement is fully approved, the new IV-E icon will be created for the child. |

If a payment correctly displays
on the Pending Checks report and does not subsequently show up on the
Pre-Audit Payee report check the provider's FEIN or SSN value. RCCs and
Group Homes must have an FEIN value and FH, TFH, and Kinship Homes must
have SSN documented.
If the FEIN or SSN are documented then the cause is usually a missing voucher number in the system. |

If you are attempting to document a one-time payment and you are receiving an error that reads: "Either an account number or IV-E FFP record can not be determined for the payment dates and service type entered." Then you need to update the service type. In order to fix this problem, the designated service maintenance person must update the Reporting Category of the service type in question. Note: The first seven values are not for county use. Reporting Category 8 can be used if a county does not have a financial interface. If the county has a financial interface then a reporting category should be chosen that correspond with other services as specified in the financial interface design. |

Enter the case name or case ID that you are looking for and select Find Next. The find function will look for any instance that matches your search criteria. |
| October 4, 2004 | If you hold your mouse pointer over an icon or a hyperlink a small dialog box will pop-up indicating what action will be taken if you click on that area of your desktop. |
| September 27, 2004 | The Mandated Reporter/Relative Notice - Screen Out letter found off of the PS Report has a field to document the telephone number of the worker. This field is user entered and can be used for other documentation purposes. For example, if a county worker needs to add more comments to the form those comments can be included after the telephone number. Simply continue typing additional comments after entry of the number. Selecting the enter key will move the cursor one space below providing a new paragraph if desired. |

Off the Provider Tab of the
Placements and Services Page there is a field to record a child's 4-digit
school district code. These codes serve a number of purposes. Primarily,
they are used to track where foster children are attending school. Most
importantly, this data is used by Department of Education to calculate
Title I grant for each school year. The purpose of the Title I report is:
The appropriate school district codes have been pre-populated into eWiSACWIS. They were taken directly from the Wisconsin Dept. of Public Instruction's website. | September 13, 2004 | Although the application has a 120 minute time-out feature one should always log off of the the application if it is not being actively used. Each person takes up band on their County line. The more persons logged onto eWiSACWIS for a particular county the less room will exist for data movement across that line. This in turn can cause a lull in eWiSACWIS' response time. |
| September 6, 2004 | Save your work often. This will help protect you from losing large portions of work when an unexpected technical issue occurs. Technical issues that affect eWiSACWIS stability can reside on both the County or the State side. |
| August 30, 2004 | Any selectable text, on any page, can be copied and pasted into other areas of the application. This includes case and person identification numbers. The keyboard shortcuts to copy are Ctrl+C, and paste is Ctrl+V. |
| August 23, 2004 | If you accidentally click on a piece of work, or expand an icon that you didn't intend to expand, you do not need to wait for the application to continue processing your action. A dialog box that reads, "Please wait while data is being retrieved" should appear with an hour glass. Below the hour glass is a cancel button. Click the cancel button and your requested action will be stopped, and you will be back at your desktop. |
| August, 16, 2004 | There are two ways that a piece of work can be recall/returned to a worker. The first, an auto-recall, occurs when a worker sends a piece of work to their supervisor for final approval and then goes back into that piece of work a changes or adds something before the supervisory approval can take place. In this instance, the system automatically recalls the piece of work back to the worker who created it initially. The second option is for the supervisor to "recall/return" the piece of work to the sending worker from their approval options. |
| August 9, 2004 | Read your error messages thoroughly before closing. In many instances, these messages are informational and have been developed to direct you in how to fix the issues that are on the page. If you forget how the error message read, or if you would like to view the message again, you may select the Errors button found in the upper right portion of any page. This button is visible only if there are errors on the page. Once the errors are fixed, the button will disappear. |
| July 26, 2004 | Before attempting to approve an Initial Assessment - Primary Caregiver don't forget to check the "IAPC Completed" checkbox. A new check box has been added to the Initial Assessment - Primary Caregivers Page. It is located in the Case Information Group box and is titled "IAPC Completed". Checking this checkbox will run the validation for all tabs on the Initial Assessment - Primary Caregiver, making sure all required fields have been completed. Any changes made to the Initial Assessment - Primary Caregiver can be saved prior to checking the checkbox, however, it is important to note that one cannot send the Initial Assessment - Primary Caregiver for approval until the new checkbox is checked. |

If you would like to search for a topic, click the "show" hyperlink once inside a help page. | July 12,2004 | In instances where one needs to reflect that a Safety Assessment had been completed on a home other than the biological home simply type in the appropriate name under "Assessed Family Name" field. The Safety Assessment will be filed under the biological family case, and the Safety Assessment will reflect that the Safety Assessment had been completed on a different family (i.e. the newly proposed relative caregiver. |
| July 5, 2004 | To move quickly to a particular reference value in a drop down list select the first letter of that value. For example, when identifying the relationship of "Reference Person" for a case participant, select the relationship drop down for that person, and then select the letter "R" on your keyboard. This will jump you to the first value in the drop down that begins with the letter "R". In this instance, that value is "Reference Person". You continue to select the letter "R" it will scroll you through all of the reference values within that list that begin with that letter. |

| June 14, 2004 | An interface to Child Support occurs when the Placement and Services page is approved by a supervisor and all three KIDS Referral questions are answered. The interface is driven by how the person completing the out-of-home placement answers the three KIDS Referral questions. If the first two questions are answered yes, or if the last question is answered yes then eWiSACWIS will begin to exchange information with child support. |

| May 31, 2004 | Claim your physical viewing space. Maximize eWiSACWIS by clicking middle button, next to the "X", in the upper right corner of your browser. You can also view more of your desktop by clicking the blue arrow (Middle top of your desktop). This will hide the messages and links area, and open up your view for the rest of your desktop. |
| May 24, 2004 | Changing the parent agency of a provider will end any placements associated with that provider. This results because payment structures are affected by parent agencies and their profit or not-for profit status. |
| May 17, 2004 | Supervisors (with appropriate security) can restrict or unrestrict cases through the restricted case checkbox on the Maintain Case window. This alleviates the need to add one's self as a case participant in order to restrict the case. |

| April 26, 2004 | When you are going into a case to complete day 2 of a case closure process you need to select the closing strip with a closed date that reads 00/00/0000. If you select any other strip then you are maintaining a historical closure. |
| April 19, 2004 | When viewing case closure history, remember to always look for a scroll bar within the Case History Group box. If the case has been opened and closed more than two times the history of those other closings will be found by scrolling down. |
| April 12, 2004 | A provider's "mailing address" drives where a provider's payment will go. If a provider has both a "mailing address" and a "provider address" (physical address) the check will go to the mailing address. The "provider address" indicates the physical location of the home. If you change the "provider address" (the physical address) of a licensed provider eWiSACWIS will automatically close the license. This will not stop any existing placements from generating payments. However, it will require that the home receive a new license before any new placements can be made. |
| April 5, 2004 | Remember to single-click within eWiSACWIS. Buttons and Links within eWiSACWIS accept only single clicks. Double-clicking may slow the application's response as it attempts to process or ignore your second click. |

Make certain that they are in the system and that they are licensed for and/or are active for the appropriate services that they are providing. | March 22, 2004 | Right click on any date field in eWiSACWIS. You will be presented with a "Select date dialog box" that will allow you to select your date from a calendar format. This can be a useful format for ensuring that you are choosing the accurate reflecting date. |
| March 15, 2004 | When documenting an unknown individual (either a reporter or a case participant) one should use the naming convention "Unknown, Unknown". The application will automatically create a new person record, which can then be updated as information is discovered, or when applicable. |
